Unique Venues that catch our Clients’ imagination.

We support our clients on their choice of venue, most get this decision right and will return on future occasions, unless we are asked directly by the client to comment on their choice of venue, we never comment on their decision unless our previous experience there was dire. 

Hotel facilities are without doubt the most frequently used type of venue for the range of services they provide to clients, due obviously for on the spot accommodation, appropriate type of conference rooms, location, catering, evening entertainment, health spas, a golf course and good communications.

However we find that providing a more unique venue can offer your event and the delegates attending something out of the ordinary that could not be possible with a standard venue which can positively impact the overall feel and ambience of your entire event.

We have put together a list of all the different types of venues we have held events at over the years to give you an idea on how to utilize a venue to enhance your event.

A RANGE OF VENUES FOR YOUR FUTURE EVENTS

BRUNTINGTHORPE AIRFIELD & RACETRACK

A large DYI chain used to hold their conferences and exhibition in one of the main hangers. These events were held over 4 days with over 250 different employees in attendance each day.

Equipment consisted of a large rear projection set with a separate sound covering the exhibition area.

All equipment was set up while the venue was open commercially.  

RAF Cosford & RAF Hendon

This venue was part of a multi venue roadshow for an International Insurance company, two of the venues chosen were RAF Cosford and RAF Hendon. Close liaising was required with both museums as the conference sets were placed between a rare and irreplaceable aircraft. Two separate smaller break out areas were also integrated within the exhibits, each with AV equipment supplied and operated by our technical crew. 

Kemble Airfield

We were asked by a client to install a large conference set in a hanger that was in full use during the day. The actual conference was held the following morning and in the afternoon, the guests were invited to go up in a variety of aircrafts. All the AV equipment was set up around the planes and could not be removed until the final flight had finished.   

Worcester Cathedral

One of our regular clients is Worcester Cathedral where we supply very specific audio visual equipment for important presentations taking place within the cathedral precinct. This is always installed during opening times with the public milling around. A great deal of care must be taken with each install as no scratches, dents or chips are allowed anywhere in the building. Acoustically the building is a real challenge when we set up audio systems for different sizes of audiences but all events to date have all been successful.

Cheltenham Racecourse

For a number of years, we supplied a special sound system at Cheltenham Racecourse for Gold Cup week. We were asked to make this system virtually invisible, in order to conform with the clients request, we used speakers disguised as large rocks and situated them around the famous statue of Arkle, these speakers were also weather proof. We installed the sound system the day prior to the festival, some amount of care had to be given to laying out the cables to the speakers as they also had to be weather proof and hidden, in a nearby building we positioned the amplifier and microphone, everything was then inspected by the Race Course Health & Safety team to make sure there were no health or safety issues.

Eastnor Castle

Mercian Events are asked each year to assist with the Herefordshire & Worcestershire Annual Tourism Awards and a few years ago year this event was held at the attractive Eastnor Castle, a few miles from Malvern. This involved us working very closely with the venue prior to the event and on the actual day of the Awards. Collectively, at an earlier meeting we had all agreed on the precise location of every piece of equipment and this had to be replicated on the day of the event with strict adherence to the agreed set up and de-rigging times. The Awards were a great success at a lovely venue.

The New Worcester Arena

We had a bi-monthly contractual obligation pre-covid to assist a client with an evening VIP networking event. We supplied a full conference set back-drop complete with large screen projection, staging, sound and lighting plus full technical support for the evening. All the equipment had be set up from 12 noon that day which just happens to be one of the busier times for the venue. Everything is removed at 9pm the same evening, just when all staff and venue users are also leaving for the day. As we say in the industry “it’s all in a long day’s work”

The Great Hall - Birmingham University

A few years back we provided a full conference service for a staff conference on behalf of a major national recruitment company in the Great Hall at Birmingham University. This was held during term time and on a normal working day. Every piece of equipment had to be carried up many flights of stairs, through the main reception and into the Great Hall itself also a large amount of the equipment had to carried up to the balcony areas. Great care had to be taken with the whole room especially the stage area where we mounted 3 large rear projection screens and projectors plus a 30ft wide truss set. Everything was setup during the day prior to the conference as it was impossible to gain access to the venue at any other time. After a very successful conference we carefully and quickly de-rigged the equipment before the venue closed for the day.

Motor Racing Circuits

Silverstone – Mallory Park - Oulton Park – Brands Hatch – Donnington Park

We have worked on some very interesting events, conferences and product launches included, at the above venues. We found them extremely co-operative and friendly venues to work at. Our clients using these venues included major public service organisations, optical manufactures, cosmetic and motorcycle manufactures.

From Product Launches to Conferences and Road Shows we have been very active at these venues for many years, as with the Motor Sport venues these Stadiums have proved to be extremely professional in all aspects of handling important events on their premises. We have supported every type of company and organisation using the facilities at the above Sport Stadiums.

Horse Racing Courses

Rather than overlooking a pitch whether it is football or rugby, for many overlooking a sweeping undulating racecourse with hills or downs in the distance may be a better option depending on your needs and requirements. There is always an ambience at these venues which is difficult to describe but it is very special to a lot of people. The major players in this type of venue are also very professional and take their responsibilities extremely seriously. We have always enjoyed handling events at these venues ranging from conferences, award dinners, roadshows, product launches and special management incentive meetings.

On the day, we’ll deliver full technical event production, from lighting and sound to staging and AV, to ensure it runs as smoothly and seamlessly as possible.

After your event has finished, we’ll remain on-site to take down your staging and production, clean up and get your mobile event to the next location, so you’re ready to go again.
